Administrative Assistant
We are looking for a dynamic full time Administrative Assistant to join our commercial real estate team.
Responsibilities
- Administrative support to a team of real estate brokers.
- Assists the brokers in preparing proposals, presentations, correspondence, contracts, agreements, and reports.
- Prepares marketing materials, including detailed aerials, brochures and other marketing materials.
- Disseminates emails to outside brokers and clients information on new listings and property updates.
- Provides additional support through copying, faxing, scanning, emailing, and mailing
- Creates and works in various types of spreadsheets.
- Research and create complex data and information for inclusion in reports, marketing packages and/or presentations.
- Edits and proofreads prepared materials.
- Responsible for maintaining and updating information on various industry related databases. Run and prepare reports from information from databases.
Requirements
- Fast paced environment which requires excellent multi-tasking skills, as seldom can one project be completed uninterrupted. The ability to quickly shift gears to another project is key.
- Highly developed organizational skills combined with great attention to detail and accuracy, as well as the ability to work under pressure and prioritize.
- Creativity and flexibility in order to meet deadlines while working with changing priorities.
- Skilled in the Microsoft Professional Suite Software, which includes Word, Excel, PowerPoint and Outlook. Photoshop and InDesign (formerly PageMaker) experience required.
- Type 50-55 wpm
- Experience in the commercial real estate industry is a plus.
- Highly motivated with initiative, independent, with the ability to work with minimal direction, but also works well in a “team” environment.
- Strong proofreading and editing skills.
- Excellent business vocabulary, grammar and effective communication skills.
- Ability to maintain discretion regarding personnel and industry-related matters.
- Excellent interpersonal skills.
